Moving to a new office is suitable for your staff and stakeholders. However, the move can be stressful, which explains why many companies keep postponing or delaying moving to avoid the hassle that comes with it.

You have to move your office despite the hassle that comes with it. Luckily it doesn’t have to be stressful. You can relocate your office smoothly with the following tips.

Planning is essential

Planning is essential for any move. After finding the ideal office location, decide on a moving date and allow yourself enough relocation timeline for which you can create a moving schedule. Planning early for an office move reduces the impact on your business.

Another reason planning is essential is that it allows you to get all the help you need to facilitate the move at your convenience. For instance, you can book your optimal moving dates with a moving company before they are taken.

Notify your employees early

A move can be exciting for you, but it can be inconvenient and unsettling for your employees. Although they may not be doing the heavy lifting, planning, packing, and settling into the new space can be overwhelming when they do it in a hurry. Therefore you should notify your employees of the move early.

Communicate openly with them and give them adequate time to prepare for the move. Familiarize your employees with the new building rules, new addresses, and phone numbers, and encourage department heads to organize the movement of their departments.

If your company employs private data, ensure you have a backup before starting your office move. Even if you have a different plan B, it is best to include backups in your plan A. Most importantly, ensure you back up your records and servers before moving your IT department.

This step is vital for your company’s safety and legal perspective, mainly if you handle private financial data. You should also engage a commercial mover with adequate experience moving IT equipment.

Get rid of clutter

Like a residential move, get rid of all the clutter in your office. Avoid hauling old files and furniture you don’t need. You should make it easy for departments to discard or pass on the piles of papers they don’t need and give them enough time to do the sorting.
